SpliceHub is the trading name of Charalampos (Babis) Ioannidis, a sole trader based in the United Kingdom ("SpliceHub", "we", "us" or "our"). We are the data controller for personal information collected through the SpliceHub website, web app and membership service. Where required by law, we are registered with the Information Commissioner's Office (ICO) as a data controller.
1. What This Policy Covers
This Privacy Policy explains how we collect, use, store and share personal information when you use SpliceHub.
SpliceHub is intended for users aged 18 and over and for Businesses operating in the United Kingdom.
2. Personal Information We Collect
We may collect and use the following information.
Account and identity data: full name; email address; UK postcode; account ID; login and authentication details; and hashed password where password login is used.
Business account data: business name; trading name; registered or trading address; business contact details; website; business sector; UK SIC codes; goods or services listed; discount or membership benefit information; Business profile content; and evidence that the account holder is authorised to manage the Business profile.
Payment and subscription data: Stripe customer ID; transaction references; subscription status; plan type; payment dates; invoice information; refund or cancellation records; and bank transfer records for Business memberships. We do not store full card numbers.
Complaint and moderation data: complaint text; complaint status and outcome; administrator notes; evidence voluntarily uploaded by you; related Business and user IDs; and records needed to prevent abuse or handle disputes.
Promo code and membership proof data: membership status; generated promo code metadata; code expiry time; Business linked to a code; validation result; and records needed to audit misuse or investigate complaints.
Usage, security and technical data: IP address; browser and device information; session tokens; authentication logs; security logs; error logs; audit logs; approximate location derived from IP address where needed for security or analytics; and information about how the platform is accessed.
Analytics data: page views; referring source; device type; browser type; approximate region or city; visit time; aggregated user journey statistics; and other aggregate website usage statistics. We do not intentionally use analytics to identify individual visitors, track people across websites or build advertising profiles.
3. How We Use Personal Information
We use personal information for the following purposes.
To provide the service: create and manage accounts; process memberships; provide membership proof and promo codes; show Business listings; validate membership benefits; manage subscriptions; provide customer support; and send service messages.
To manage Businesses and listings: review Business applications; maintain Business profiles; show Business information to users; check eligibility; manage discounts and benefits; and deal with listing issues.
To process payments and keep records: process payments through Stripe or bank transfer; manage renewals, failed payments, cancellations and refunds; keep accounting and tax records; and prevent payment abuse.
To protect the platform: detect and prevent fraud; enforce cooldowns, suspensions and bans; investigate misuse; protect accounts and systems; maintain audit logs; and keep the platform secure.
To handle complaints: receive and review membership-related complaints; review evidence; make complaint decisions; contact relevant users or Businesses; and keep moderation and dispute records.
To improve the website and service: understand aggregate use of the website; identify technical issues; review traffic sources; improve user journeys; test and improve features; and monitor performance.
To keep you informed: where you have accepted our Privacy Policy, we may occasionally send you promotional emails about SpliceHub features, membership offers or relevant news. You can opt out at any time by following the unsubscribe link in any such email or by contacting us at info@splicehub.co.uk. We will not send marketing emails if you ask us not to.
To comply with law: meet tax, accounting and legal obligations; respond to lawful requests from authorities; handle legal claims; and comply with UK GDPR, the Data Protection Act 2018 and other applicable laws.
4. Lawful Bases
We rely on the following lawful bases under UK GDPR.
Performance of a contract: to create and manage your account; to provide membership features; to process memberships and subscriptions; to generate membership proof and promo codes; to manage Business profiles; and to provide support.
Legitimate interests: to prevent fraud and abuse; to enforce cooldowns, suspensions and bans; to keep the platform secure; to handle complaints and disputes; to improve the website and service; to maintain audit logs; to protect our legal position; and to operate a safe membership platform.
Legal obligation: to keep financial, tax and accounting records; to respond to lawful regulatory or law enforcement requests; and to comply with data protection law.
Consent: where you accept our Privacy Policy at registration, this covers our use of your information to send occasional promotional emails as a soft opt-in for existing customers under UK PECR. We will also ask for consent for any optional cookies, non-essential tracking or other processing that legally requires separate consent.
5. Sharing Personal Information
We do not sell your personal information.
We may share personal information with the following types of recipients where necessary.
Payment providers: Stripe processes Individual subscription payments under its own terms and privacy policy.
Infrastructure and technical providers: hosting, database, backup, logging, authentication and email providers used to operate the service.
Analytics providers: a privacy-friendly analytics service, which may be self-hosted under analytics.splicehub.co.uk, used to produce aggregate website usage statistics.
Professional advisers: accountants, legal advisers, insurers or other advisers where needed for business, tax, legal or insurance purposes.
Authorities: law enforcement, regulators, courts, HMRC, the ICO or other authorities where required by law or where reasonably necessary to protect our rights, users or the platform.
Other users: Business listing information is visible to platform users. Complaint-related information may be shared with the relevant Business or user where necessary to handle the complaint. We do not share more information than we reasonably need.
6. International Transfers
Some service providers may process personal information outside the United Kingdom.
Where this happens, we will take steps required by UK data protection law, such as using an adequacy decision, the UK International Data Transfer Agreement, the UK Addendum to EU Standard Contractual Clauses or another lawful transfer mechanism.
7. Data Retention
We keep personal information only for as long as reasonably necessary for the purposes set out in this policy.
Account data: kept while your account is active; after closure, retained for up to seven years where needed for legal, tax, accounting, dispute, fraud prevention or platform integrity reasons.
Payment and accounting records: kept for up to seven years for tax, accounting and legal record keeping.
Business profile data: kept while the Business profile is active; after removal or closure, kept for up to seven years where needed for legal, dispute, audit or platform integrity reasons.
Complaint records: complaint evidence images are deleted once the complaint is resolved unless needed for an ongoing dispute or investigation; complaint text, outcomes and moderation records are kept for up to seven years after resolution or account closure unless a longer period is needed for legal claims or serious abuse prevention.
Promo code records: promo codes expire shortly after generation; basic validation and audit records may be kept for a limited period for complaint handling, misuse prevention, security or accounting.
Cooldown and abuse-prevention records: where a cooldown, suspension or ban applies, we may retain the minimum information needed to enforce it and prevent circumvention for the duration of the restriction and a reasonable period afterwards.
Security and analytics data: security logs are kept for as long as reasonably needed to protect the platform; analytics data is kept in aggregate form where possible.
8. Cookies and Analytics
We use strictly necessary cookies and similar technologies to keep you logged in, authenticate your account, protect sessions, prevent fraud and operate the service. Strictly necessary cookies are required for the platform to work. You can block cookies in your browser but doing so may stop you from logging in or using the service.
We do not use advertising cookies, retargeting pixels, cross-site tracking cookies or session recording tools unless this policy is updated and the required consent is obtained.
We may use a privacy-friendly analytics service, such as a self-hosted analytics tool under analytics.splicehub.co.uk, to understand aggregate use of the website and improve the service. Our analytics does not use advertising cookies, does not track visitors across websites, does not create advertising profiles, does not identify individual visitors and only provides aggregate statistical information.
If we later introduce Google Analytics, Meta Pixel, retargeting or behavioural advertising, we will update this policy and implement an appropriate cookie consent mechanism before those tools are used.
9. Security
We use appropriate technical and organisational measures to protect personal information, including access controls, encryption in transit, password hashing, logging, backups, restricted administrator access and security monitoring.
No online service is completely secure. You are responsible for keeping your login details confidential and telling us immediately if you suspect unauthorised access.
10. Your Rights
Under UK GDPR, you may have the following rights: right of access; right to rectification; right to erasure; right to restrict processing; right to data portability; right to object to processing based on legitimate interests; and right to withdraw consent where processing is based on consent.
These rights are subject to legal limits. For example, we may need to retain some information for tax, accounting, fraud prevention, cooldown enforcement, dispute handling or legal reasons.

We will notify you of material changes by email or through the platform where reasonably possible.
Continued use of the service after changes are notified means you accept the updated policy.
